Job Summary
We are seeking a highly organized and customer-focused Dispatcher to coordinate scheduling, assignments, and communication for Service and Preventative Maintenance (PM) technicians. This role is critical to ensuring timely, efficient, and high-quality service delivery.
The Dispatcher serves as the central point of contact for customers, technicians, and management, balancing daily workload, prioritizing urgent calls, and maintaining accurate service records. This position requires strong multitasking abilities, attention to detail, and a solid understanding of HVAC/R systems and service operations.
Key Responsibilities
Schedule and dispatch technicians based on skillset, availability, and priority
Adjust schedules throughout the day to accommodate emergencies, delays, and customer changes
Optimize routing and workloads to improve response times and productivity
Coordinate building access and send appointment confirmations
Create, update, and close work orders within the service management system
Ensure job documentation is complete, including notes, materials, photos, and time entries
Track open jobs, return visits, warranty calls, and pending follow-ups
Receive and process incoming service requests via phone, email, and customer portals
Provide customers with updates, confirmations, and post-service follow-ups
Monitor technician status and progress throughout the day
Assist with purchasing, parts coordination, and inventory tracking
Support billing processes by verifying completed work and recorded labor
Maintain accurate records in dispatch and CRM systems
Generate and review reports on service activity, technician productivity, and customer satisfaction
Escalate complex issues to management as needed
Qualifications
High school diploma or equivalent required
Associate degree or coursework in HVAC/R or business preferred
2-5 years of dispatching experience, preferably in HVAC or a related field
Strong familiarity with commercial HVAC service operations preferred
Experience with dispatch/service software (e.g., Jonas, XOi)
Proficiency in Microsoft Office (Word, Excel, Outlook)
Strong organizational and multitasking abilities
Excellent verbal and written communication skills
Ability to manage competing priorities and problem-solve in real time
Customer-focused, dependable, and detail-oriented
Ability to interpret work orders, technical notes, and reports
Knowledge of service operations and preventative maintenance workflows
Willingness to work flexible hours or overtime as needed
Requirements
Regularly required to sit, stand, walk, and use hands for administrative tasks
Occasionally required to lift or move items
Ability to communicate effectively in person and by phone
Must have sufficient vision and hearing to perform job duties
